Core Hours for this role are Monday to Friday 9am to 5pm and parking is available onsite.
 
About the Role
 
Working alongside an enthusiastic and highly motivated head of department this role is ideal for someone who knows they want to work in conveyancing and are happy to remain at this level for the foreseeable future.
 
You'll be joining a friendly and supportive conveyancing team, where you will learn how to provide essential administrative support while developing your knowledge of the conveyancing process at a steady pace. Full training will be provided, and you will always have someone to ask for help.
 
Key Responsibilities 
  • Welcoming clients in person and on the phone, taking clear messages and passing on information to the team.
  • Opening and closing files following the firm's simple procedures.
  • Scanning and uploading incoming post and documents to the firm's electronic system.
  • Assisting in preparing basic contract packs and supporting documents for property sales.
  • Ordering standard searches for property purchases.
  • Drafting straightforward letters and emails.
  • Helping the fee earner prepare reports for clients.
  • Keeping electronic files up to date with accurate information.
  • Preparing standard documents when contracts are ready to be exchanged.
  • Assisting with pre-completion tasks, including basic financial forms (support and guidance given).
  • Helping with completion day tasks and preparing applications to the Land Registry.
  • Liaising with clients, estate agents, solicitors and brokers about simple, non-technical queries.
  • Providing clear written notes on all client and third-party contact.
  • Giving quotes to prospective clients using set templates and helping convert enquiries into new matters.
  • Managing the archiving of conveyancing files.
  • Helping organise diaries and booking meeting rooms.
  • Carrying out any other routine tasks to support the conveyancing team.
Skills
  • Good typing and word-processing skills
  • Clear and friendly communication, both written and verbal
  • Ability to manage your time and stay organised
  • Ability to work independently once trained
  • Willingness to work in a busy environment and handle multiple tasks
  • Professional appearance and manner
  • Confident using IT systems including Microsoft Word, Excel and Outlook
